Data Deletion

This page explains how pilot dealerships request deletion of information stored by Lotly Auto (operated by Lotly, LLC). It applies to the private invitation-only pilot.
Who may request deletion
A dealership owner or other authorized administrator for the pilot dealership may request deletion of that dealership’s Lotly account data. Individual end users who are not dealership owners should work through their dealership administrator, or contact us if they need help identifying the right contact.
How to submit a request
- Email support@lotly.io with subject line “Lotly pilot data deletion request”.
- Include the dealership name as shown in Lotly, and the email address of the requesting owner/admin.
- State whether you also want QuickBooks disconnected (if still connected).
How we verify the request
We verify that the request comes from an authorized dealership owner or administrator (for example by matching a known membership email, requiring confirmation from a second authorized contact when appropriate, or other reasonable identity checks). We will not process destructive deletion based on unverified requests.
What information will be deleted
For a verified dealership (tenant) deletion, active Lotly systems are intended to remove or purge:
- Receipt images/PDFs and related object-storage objects for that dealership
- Receipt metadata, extracted fields, review snapshots, and related job state
- Frazer import data including vehicle/cost records and customer names when stored
- Inbound email processing logs for that dealership
- Invitations, memberships, and dealership configuration/mappings
- Stored QuickBooks OAuth credentials (after disconnect / revocation attempt)
What may remain
- Minimal security, consent, legal obligation, dispute, or deletion-verification records
- Aggregated or de-identified operational metrics that no longer identify the dealership or users
- Backup copies until they expire through normal backup rotation
- Records already created in QuickBooks Online (see below)
- Copies retained by third-party providers according to their own systems and contracts
Lotly deletion vs QuickBooks records
Deleting Lotly data does not delete transactions, attachments, customers, accounts, items, sales receipts, or journal entries already created in QuickBooks. Managing or removing those records must be done in QuickBooks (or via Intuit) by the dealership. Disconnecting QuickBooks from Lotly (see /disconnect) is separate from requesting full dealership data deletion.
Backups
Residual backup copies may remain until they expire through normal backup rotation. We do not claim instant wipe of all offline backups.
External providers and logs
We do not claim that third-party provider copies (for example email provider logs, AI provider logs, hosting logs, or error-monitoring events) are deleted automatically unless an API or documented manual process is completed. Operator follow-up may include Postmark, the AI provider, database backups, object-storage versioning, hosting logs, and Sentry if enabled.
Legal and security retention
Legal, security, consent, or dispute records may be retained when reasonably necessary.
Expected timing
Verified pilot-account deletion requests are normally completed from active Lotly systems within 30 days of verification (configurable operational target for this pilot). Residual backup copies may remain until they expire through normal backup rotation.
